How do I add items to my inventory?

Tap the + button and choose from three simple options:

  • Photo — Snap a photo and AI fills in the details automatically. The form appears immediately while AI analyzes in the background — you're never waiting.
  • Barcode — Scan a UPC code to auto-fill product information from our database.
  • Manual — Type the details yourself when you prefer full control.

For the fastest experience, use Photo mode. Subscribers get automatic AI analysis — fields fill in as results arrive. You can start editing immediately and make changes even while AI is working.

How can I improve the effectiveness of information returned by AI assistants?

Even though Stuffolio works great with only partial information about a product, the more specific and accurate the details you provide, the better results you'll get from AI features:

AI assistance when you ask — silent when you don’t.

Stuffolio’s AI is user-initiated and non-ambient. Nothing is analyzed or sent to external services unless you explicitly ask for help.

  • Use real brand names — "KitchenAid" not "my mixer"
  • Include model numbers — "KSM150PSER" helps pinpoint exact specs, manuals, and parts
  • Take clear photos — Good lighting, full product visible, labels/nameplates if possible
  • Add the product category — Helps AI understand context (e.g., "stand mixer" vs just a photo)
  • For vintage/antique items — Mention approximate age or era if known ("1960s" or "inherited from grandmother")
  • Include distinguishing details — Color, size, variant (e.g., "5-quart, Empire Red")

Generic entries like "kitchen thing" or blurry photos will get generic results. Real product details unlock specific manuals, replacement parts, recall info, and accurate valuations.

Do I need to enter receipts for every item?

No. Stuffolio works with whatever information you have. Add a name and photo now, fill in details later — or don't. It's designed for real life, not perfect record-keeping. That being said, using real product, brand names, and model numbers will increase the usefullness of information returned by AI agents.

What is Stuff Scout?

Stuff Scout is a cool AI tool that can help you identify items from photos. Just point your camera at something, and it'll tell you what it is, share a little bit about its history, and give you an idea of its value. It's especially handy for heirlooms you already have and for spotting those hidden gems at the thrift store.

How can I improve Stuff Scout results?

If Stuff Scout's initial identification isn't quite right, you can refine the results:

  1. Tap "Not quite right?" on the results screen
  2. Add what you know — product name, manufacturer, model number, or era
  3. Add photos — snap pictures of maker's marks, labels, stamps, or different angles
  4. Tap Re-analyze — the AI reconsiders with your hints

Tips for best results:

  • Photos of maker's marks or signatures are especially helpful
  • Be specific — "Homer Laughlin Virginia Rose" works better than "old plate"
  • Mention where you found it or any known history
  • Include visible markings, stamps, or patent numbers

Each refinement uses 1 AI query from your allowance, but it's worth it for accurate identification and valuation.

Does Stuffolio sync across devices?

Yes, if you enable iCloud sync. Your data syncs through your personal iCloud account — we never see it. You can also use Stuffolio completely offline with no sync.

Can I export my inventory?

Yes. Export to CSV, PDF, or other formats from the Actions section. Great for insurance documentation, moving, or just having a backup.

Is my data private?

Yes. Your inventory stays on your device by default. Network features (sync, AI, barcode lookup) are all opt-in. See our Privacy Policy for details.

How do warranty reminders work?

Add a warranty expiration date to any item and Stuffolio will remind you before it expires. You can customize how far in advance you want to be notified in Settings.

What are coverage phases (tiered warranties)?

Many warranties change coverage over time. For example, a 5-year appliance warranty might offer:

  • Year 1: Full coverage (parts + labor)
  • Years 2-3: Parts only (you pay for labor)
  • Years 4-5: Limited coverage

Some products have different warranty periods for different components. For example, EGO Power+ tools offer 3 years on batteries and 5 years on outdoor equipment.

Stuffolio lets you track these phases so you always know what's covered right now. You can add multiple coverage phases to any warranty, each with its own coverage type, date range, component name, and deductible.

To add coverage phases: When adding or editing a product, expand the "Coverage Phases" section (it's a top-level section in the form), then tap "Add Coverage Phase." You can optionally specify a component name for component-based warranties. Stuffolio will notify you when coverage is about to change.

What do the coverage types mean?

Stuffolio supports four coverage types to match real-world warranty terms:

  • Full Coverage — Both parts and labor are covered. The manufacturer handles everything.
  • Parts Only — Replacement parts are covered, but you pay for labor/installation costs.
  • Labor Only — Labor costs are covered, but you pay for replacement parts.
  • Limited — Partial coverage with restrictions. Check your warranty terms for details.

If you don't set a coverage type, Stuffolio assumes "Full Coverage" — which is how most single-phase warranties work.

Can I track warranty deductibles?

Yes. Many warranties (especially extended warranties) require a deductible — an out-of-pocket cost you pay when making a claim.

You can set a deductible for the entire warranty, or different deductibles for each coverage phase. For example, an extended warranty might have no deductible for the first year, then a $50 deductible for years 2-5.

The product detail view shows your current deductible based on which coverage phase is active.

Can I track items I've sold or donated?

Yes. When you let go of something, you can mark it as sold, donated, gifted, recycled, returned, or trashed. Stuffolio keeps a history so you know where everything went.

For tax purposes, Stuffolio tracks:

  • Donations — Estimated fair market value, recipient organization, and date
  • Sales — Sale price, date, and where/to whom it was sold

You can export this information for your records. Attach photos of donation receipts to keep everything in one place.

How do I delete an item?

Open the item's detail view, tap the action menu (•••), and select "Delete." You can also swipe left on an item in the list view. Deleted items are gone permanently — if you might want to reference it later, consider marking it as "disposed" instead.

Can I organize items by room or location?

Yes. Each item can have a location assigned (living room, garage, kitchen, etc.). You can then filter and search by location to see everything in a specific area — helpful for moving or insurance documentation.

Is there a limit to how many items I can add?

No. Add as many items as you want. Stuffolio stores everything locally on your device, so the only limit is your device's storage space. If you use iCloud sync, your iCloud storage applies.

How do I back up my data?

You have several options: (1) Enable iCloud sync to automatically back up to your iCloud account, (2) Export your inventory to CSV, PDF, or Excel from the Actions section, (3) Create a local backup from Settings → Backup & Restore — with optional password encryption for sensitive data, or (4) Your device's regular backup (iCloud Backup or Finder/iTunes) includes Stuffolio data. Encrypted backups use industry-standard PBKDF2 + AES-GCM encryption and are saved as .stuffolio files.

What happens if I delete the app?

If you delete Stuffolio, locally stored data is removed from that device. However, if you have iCloud sync enabled, your data remains in iCloud and will restore when you reinstall. We recommend exporting a backup before deleting, just in case.

Does Stuffolio work offline?

Yes. Core features work completely offline — adding items, viewing your inventory, editing details, and exporting. Only optional features like Stuff Scout (AI), barcode lookup, and iCloud sync require an internet connection.

How do I send items to Notes, Calendar, or Reminders?

Stuffolio's "Send to Apps" feature lets you quickly share item details with Apple's built-in apps:

  • Notes — Creates a note with item title, brand, and model. Great for adding detailed notes about a product, troubleshooting steps, or repair history.
  • Calendar — Creates an event for warranty expiration or scheduled maintenance. Perfect for getting reminded before coverage ends.
  • Reminders — Adds a task for maintenance, follow-up calls, or anything you need to remember about the item.

How to use: Open any item's detail view and look for the "Send to" section with Notes, Calendar, and Reminders chips. Tap a chip — the destination app opens and item details are copied to your clipboard. Just paste (⌘V or long-press) to add the information.

Can I attach receipts and documents?

Yes. You can attach photos of receipts, manuals, warranty cards, or any other documents to each item. Just open the item and use the attachments section to add images from your camera or photo library.

Is Stuffolio free? Are there in-app purchases?

Stuffolio is a one-time purchase of $9.99. All core inventory features are included — adding items, tracking warranties, organizing by location, exporting data, and more.

AI Features (Optional Subscription): Stuff Scout and other AI-assisted features require a separate subscription due to ongoing server costs. Subscriptions are $2.99/month or $19.99/year (cancel anytime).

You can use Stuffolio fully without the AI subscription. The core app works great on its own.

Family Sharing covers the one-time app purchase (up to 6 family members). AI subscriptions are per person, because each person’s AI usage has real costs.

How do I enable internet features like AI and barcode lookup?

Internet-connected features are disabled by default to protect your privacy. To enable them, go to Settings → Network Features and toggle on the features you want to use. You can enable:

  • Stuff Scout (AI) — Identify items from photos and get product research
  • Barcode Lookup — Auto-fill product info by scanning barcodes
  • Recall Checker — Check if your products have safety recalls
  • Analytics — Help improve Stuffolio by sharing anonymous usage data

Each feature can be enabled or disabled individually. Core inventory features always work offline — no internet required.

What is Legacy Wishes?

Legacy Wishes helps you document who should receive your belongings. It's a way to record your preferences for family heirlooms, collectibles, and meaningful items — so your wishes are clear when the time comes.

How it works:

  • Add Recipients — Family members, friends, charities, or organizations who may receive items
  • Assign Items — From any product's detail view or the Legacy Wishes hub, assign items to recipients
  • Contingency Recipients — Set a line of succession — if primary recipient declines, specify who receives the item next
  • Set Fallbacks — Choose what happens if no one accepts (donate, sell, let family decide)
  • Share via CloudKit — Share with family members with real-time sync across all devices
  • Family Collaboration — Let family members indicate interest ("I'd like this" / "I don't need this")
  • Conflict Detection — See when multiple family members express interest in the same item
  • Export as PDF — Generate a formatted document to print, email, or store with important papers
  • Works Offline — View and edit shared wishes offline; changes sync automatically when back online

Enable Legacy Wishes in Settings → Legacy Planning. This feature is disabled by default.

What is "Repair, Keep, or Replace?"

Repair, Keep, or Replace? is a thinking tool that helps you decide what to do with an item — it's not a shopping funnel. Unlike typical "replacement advisor" features, it uses your own data as the primary source of truth.

What it shows:

  • Repair Options — Links to iFixit repair guides, repairability scores, DIY difficulty ratings, and repair vs. replace cost comparison
  • Lifespan Analysis — Item age, expected lifespan, warranty status, and estimated remaining value
  • Brand Intelligence — Your history with this brand: average ratings, would-buy-again rate, other items from the same manufacturer
  • Research Tips — How to find trustworthy product reviews (Consumer Reports, Wirecutter, iFixit, etc.)

Confidence levels: The advisor tells you how confident its suggestions are — High (complete data), Medium (partial data), or Exploratory (limited data). It won't pretend to know more than it does.

To access: Open any product, tap the action menu (•••), and select Repair, Keep, or Replace?. You can also find it in Rating Insights for items you've rated.

Philosophy: Your own ratings, brand history, and experience are the most trustworthy data you have. This feature surfaces that first, then offers tools to help you think — not shop.

What's the difference between Go To and Product Search?

Go To (⌘K) and Product Search serve different purposes:

  • Go To — A command palette for navigating the app. Use it to jump to features, launch actions (Add Product, Export, Backup), access tools (AI Assistant, Recall Check), open settings, or get help. It searches app functions, not your products.
  • Product Search — Found in My Items, this searches your actual inventory. Use it to find specific items by name, brand, model, category, location, or any other product details.

Quick rule: Use Go To to do something in the app. Use Product Search to find something you own.

Go To is available from anywhere via ⌘K (Mac/iPad with keyboard) or the toolbar button. Product Search is always visible at the top of My Items.

What is Photo mode when adding items?

Photo mode is the fastest way to add items to your inventory. Snap a photo and AI fills in the details for you — product name, manufacturer, estimated value, and more.

How it works:

  1. Tap + → Photo
  2. Take or select a photo of your item
  3. The form appears immediately — no waiting
  4. AI analyzes in the background and fills in fields as results arrive
  5. Review, edit if needed, and save

Optimistic loading: You can start entering data right away. AI fields (title, manufacturer, value) animate in automatically when analysis completes. You're never blocked waiting for AI.

Best results: Use clear, well-lit photos. Product photos, close-ups of nameplates/labels, and packaging all work well.

What's the difference between Photo, Barcode, and Manual entry?

When adding items, you'll see three simple options:

  • Photo — Best for most items. Take a picture and let AI identify it. Form appears immediately with progressive field population. Ideal for items without barcodes, antiques, collectibles, or when you want AI assistance.
  • Barcode — Best for retail products with UPC codes. Scan the barcode and product details auto-fill from our database. Fast and accurate for packaged goods.
  • Manual — Best when you want full control or already know all the details. Opens a blank form where you type everything yourself.

Which should I use? Photo mode is the fastest overall since AI does the typing. Use Barcode for boxed products with visible UPCs. Use Manual when you're offline or prefer typing.

How does Voice Input work?

Voice Input lets you add items hands-free using natural language. Tap the microphone button in Add Item, speak your item details, and Stuffolio parses your words into form fields.

Example commands:

  • "Add coffee maker to kitchen, manufacturer Cuisinart, price 99 dollars"
  • "Add Samsung TV to living room, model QN65S95D"
  • "Add iPhone 15 Pro, brand Apple, serial number ABC123"

Recognized fields:

  • Title — The item name (e.g., "coffee maker")
  • Room/Location — "to kitchen", "in the garage", "to office"
  • Manufacturer/Brand — "manufacturer Apple", "brand Samsung", "by Sony"
  • Price — "$99", "99 dollars", "price 1299"
  • Model Number — "model ABC123", "model number XYZ"

Privacy: Voice recognition uses on-device processing (iOS 17+). Your voice data stays on your device — nothing is sent to servers.

Permissions: Voice Input requires microphone and speech recognition permissions. You'll be prompted the first time you use it.

What do the thumb up/down buttons after AI responses do?

After using AI features (Stuff Scout, Product Assistant, Photo Quick Add), you'll see thumbs up and thumbs down buttons. These let you rate whether the AI response was helpful.

Thumbs Up — The response was accurate, useful, or solved your problem

Thumbs Down — The response was wrong, irrelevant, or confusing

Your feedback is anonymous and helps improve AI accuracy for everyone. Rating is always optional — if you don't want to rate, just skip it.

Privacy: Ratings are aggregated and anonymous. We don't tie ratings to your inventory or build user profiles. It's simple feedback to help improve the AI.

What are Maintenance Reminders?

Maintenance Reminders help you stay on top of regular upkeep for your items — like changing air filters, rotating tires, or descaling your coffee maker.

Key features:

  • Opt-in per item — Only track maintenance for items you want
  • Multiple tasks per item — e.g., refrigerator: water filter (6 months) + coil cleaning (12 months)
  • Manual intervals — Set your own schedule (free)
  • AI-suggested intervals — Let AI recommend intervals (uses 1 query)
  • Notifications — Get reminded when maintenance is due

To add: Open item → Maintenance → Add Task → Set name and interval → Save

Can I add warranty cards to Apple Wallet?

Yes! You can generate Apple Wallet passes for your warranties. This gives you quick access to proof of coverage when you're at a repair shop — no digging through the app.

To create a Wallet card: Open the item → tap the Warranty section → tap "Add to Apple Wallet." The pass includes product name, warranty expiration date, and key coverage details.

The Wallet card automatically expires when your warranty does, so you won't have outdated passes cluttering your Wallet.

How do I track warranty claims and returns (RMA)?

Stuffolio includes RMA (Return Merchandise Authorization) tracking to help you manage warranty claims from start to finish.

What you can track:

  • RMA Number — Store the authorization number from the manufacturer
  • Claim Status — Pending, Approved, Shipped, In Progress, or Completed
  • Shipping Labels — Track outbound and return shipments
  • Timeline — View the full history of your claim

To add an RMA: Open the item → scroll to Warranty → tap "RMA Tracking" → enter the details.

How can I log customer support interactions?

Never start from scratch on your third call to customer service. Stuffolio lets you log every support interaction with details you'll need later.

What to record:

  • Rep Name & Case Number — Reference for future calls
  • Date & Time — When you contacted them
  • Notes — What they said, what was promised
  • Follow-up Date — When to call back if needed
  • Resolution — How the issue was resolved

To add: Open item → scroll to Support History → tap "Log Interaction."

What is Price Watch?

Price Watch tracks the current replacement cost of items in your inventory. It's useful for:

  • Insurance documentation — Know what things are worth today, not what you paid years ago
  • Replacement planning — See when prices drop on items you want to replace
  • Budget tracking — Understand the total replacement value of your belongings

How to enable: Open any item → tap Price Watch → toggle "Track Prices" on.

Price sources: Manual entry, Stuff Scout marketplace values, barcode scanner retail prices, or AI Assistant "Current Price" queries.

How do I get price alerts?

Set a target price for any item with Price Watch enabled:

  1. Open the item → Price Watch section
  2. Tap "Set Alert"
  3. Enter your target price
  4. Choose how to be notified (push notification, badge, or both)

When the tracked price drops below your target, you'll be notified. Price checks happen when you use Stuff Scout, scan a barcode, or use the AI "Current Price" query.

What are Value Snapshots?

Value Snapshots track how your total inventory value changes over time. This is useful for understanding depreciation, monitoring your belongings' worth, and documenting value for insurance.

How it works:

  • Automatic Snapshots — Stuffolio periodically captures your total inventory value
  • Trend Charts — Visualize value changes over weeks, months, or years
  • Manual Snapshot — Capture current value on demand (before/after a big purchase)

Find Value Snapshots in Insights → Value History.

How does the Depreciation Calculator work?

The Depreciation Calculator estimates what your items are worth today based on their age and depreciation method.

Depreciation methods:

  • Straight-line — Equal depreciation each year (common for appliances)
  • Declining balance — Faster initial depreciation (common for electronics)
  • Custom rate — Enter your own annual depreciation percentage

Category defaults apply sensible rates automatically — electronics depreciate faster than furniture, for example. You can override for individual items.

To access: Open item → tap Value → see "Estimated Current Value" with depreciation applied.

What are Filter Presets?

Filter Presets let you save your favorite search filters for one-tap access. Instead of rebuilding the same filter every time, save it once and reuse it.

Examples:

  • "Electronics expiring this month"
  • "Items in the garage"
  • "5-star rated items"
  • "Items without photos"

To create: In My Items, set up your filters → tap "Save as Preset" → name it. Access saved presets from the filter menu.

What is Audit Mode?

Audit Mode helps you verify that your physical inventory matches your digital records. It's useful for annual inventory checks, after moving, or when you suspect something's missing.

How it works:

  • Start an Audit — Begin room-by-room verification
  • Mark Items Found — Confirm each item is where it should be
  • Review Missing Items — See what wasn't accounted for
  • Audit Summary — Get a report of discrepancies

To start: Go to Actions → Audit Mode → Start Audit. Walk through your space and mark items as you find them.

How do I find duplicate items?

The Duplicate Finder scans your inventory for items that may have been added twice. This happens if you add something, forget about it, and add it again later.

What it checks:

  • Matching or similar names
  • Identical serial numbers
  • Same model numbers from same manufacturer

Your options: Compare duplicates side-by-side, merge them (combining the best data from each), or delete one.

To run: Go to Actions → Duplicate Finder → Scan Inventory.

What are Scout Bookmarks?

When you use Stuff Scout to identify an item, the results are automatically saved to Recent Scans. But if you want to keep a scan permanently — maybe you're not ready to add it to your inventory yet — you can bookmark it.

How it works:

  • Recent Scans — Last 25 analyses auto-cached (temporary)
  • Bookmark — Swipe right on any scan to save permanently
  • Browse Bookmarks — Access saved analyses anytime in Stuff Scout
  • Add Later — Convert a bookmark to an inventory item when ready

This is great for thrift store finds you want to research more before buying, or estate items you're still sorting through.

What is the Insurance Profile?

The Insurance Profile helps you understand how your belongings fit with your insurance coverage. It identifies potential gaps before you need to file a claim.

What it tracks:

  • Coverage Limits — Your policy's total and per-item limits
  • High-Value Items — Items that exceed per-item limits
  • Coverage Gaps — Items that may need scheduled riders
  • Total Insurable Value — Sum of your inventory vs. coverage

To set up: Go to Settings → Insurance Profile → enter your coverage details. Stuffolio will flag items that need attention.

Can I use Siri with Stuffolio?

Yes! Stuffolio integrates with Siri Shortcuts so you can control your inventory with your voice.

Built-in shortcuts:

  • "Hey Siri, add item to Stuffolio"
  • "Show my expiring warranties"
  • "Open Stuff Scout"

Custom shortcuts: In the Shortcuts app, you can create your own automations using Stuffolio actions — like a daily summary of items needing attention.

To set up: Go to Settings → Siri Shortcuts → tap "Add to Siri" for actions you want to use.

What widgets are available?

Stuffolio offers widgets for your Home Screen, Lock Screen, and StandBy mode.

Home Screen widgets:

  • Small — Item count and total value
  • Medium — Expiring warranties list
  • Large — Dashboard summary with quick actions

Lock Screen widgets:

  • Compact warranty countdown
  • Total item count

Live Activities: When a warranty expires today, you'll see it in your Dynamic Island and on your Lock Screen.

StandBy Mode: Widgets display while your iPhone charges in landscape orientation.

How do I mark an item as lost or stolen?

If an item goes missing, you can mark it as Lost or Stolen to keep a record for insurance purposes.

What you can record:

  • Date — When it went missing or was stolen
  • Circumstances — Where/how it happened
  • Police Report — Report number (for stolen items)
  • Insurance Claim — Track claim status

To mark: Open item → tap Dispose → select "Lost" or "Stolen" → enter details.

The item moves to your Archive but remains searchable. If it's recovered, you can restore it to your active inventory.

Troubleshooting

iCloud sync isn't working

Make sure iCloud is enabled in your device settings and you're signed in with the same Apple ID on all devices. Try force-quitting the app and reopening. If issues persist, check your iCloud storage isn't full.

AI features aren't loading

First, make sure you've opted in to AI features: go to Settings → Network Features and enable Stuff Scout. AI features are disabled by default to protect your privacy.

If already enabled, check your internet connection and try again. If you're on a restricted network (work, school), the AI server might be blocked.

The app crashed

Sorry about that! Crash reports are sent automatically (no personal data included). If you can reproduce the crash, email us the steps — it helps us fix it faster.

Photos aren't saving

Make sure Stuffolio has permission to access your photos. Go to Settings → Privacy & Security → Photos and check that Stuffolio has access.

Barcode scanner not working

Make sure Stuffolio has camera permission (Settings → Privacy & Security → Camera). Also check that Network Features are enabled in Stuffolio settings for product lookup. Try scanning in better lighting, and make sure your camera lens is clean.

Warranty reminders / notifications aren't working

Make sure Stuffolio has notification permission (Settings → Notifications → Stuffolio). Check that you've set a warranty expiration date on the item. Also verify your notification timing preference in Stuffolio Settings — you can choose how far in advance to be reminded. For coverage phase change alerts (Full → Parts Only transitions), make sure "Coverage Phase Changes" is enabled in Settings → Notifications.

App is running slowly

Try force-quitting and reopening the app. If you have a very large inventory with many photos, this can affect performance. Make sure your device has available storage space. Restarting your device can also help clear memory.

"No application set to open the URL" error (macOS)

If you see an error like "There is no application set to open the URL calshow://" when using Send to Apps features, this means macOS can't find the Calendar, Notes, or Reminders app.

To fix this:

  1. Open System Settings → Privacy & Security → Full Disk Access
  2. Make sure Stuffolio has access (or add it)
  3. Restart Stuffolio

If that doesn't work, try:

  • Open Calendar/Notes/Reminders manually once to ensure they're properly installed
  • Run in Terminal: /System/Library/Frameworks/CoreServices.framework/Frameworks/LaunchServices.framework/Support/lsregister -kill -r -domain local -domain system -domain user (rebuilds URL handlers)
  • Restart your Mac

This is a macOS configuration issue, not a Stuffolio bug. The system URL schemes for Apple's apps occasionally need to be re-registered.

My data seems to have disappeared

Don't panic! First, check if you're signed into the same iCloud account (if using sync). Try force-quitting and reopening the app. If you recently restored your device, make sure iCloud sync is enabled and give it time to download. If data is truly lost, contact us — we'll help troubleshoot.
